What the AI is allowed to do

The AI is configured per firm with your firm's language, your approved product set, and the specific recommendations in each client's room. It can:

  • Explain recommendations the adviser has already made
  • Clarify terminology the client asks about
  • Direct the client to the adviser for any new question
What the AI is blocked from doing

The AI is blocked at the system level from:

  • Generating new financial recommendations
  • Commenting on the suitability of products outside the original recommendation
  • Answering "should I" questions about money decisions
  • Discussing market timing, performance predictions, or asset-specific forecasts
How blocking works

Three layers enforce the scope:

  1. 1A firm-configured system prompt defining scope, tone, and refusal behaviour for your firm.
  2. 2A refusal classifier that flags out-of-scope prompts before they reach the model.
  3. 3A per-client context window limited to the recommendations already made to that client.

Does ClientRoom satisfy Consumer Duty requirements?
ClientRoom is an evidencing tool that helps your firm capture the engagement data Consumer Duty requires. Compliance with Consumer Duty rests with your firm and your compliance officer, not with any software vendor, including us. What the product provides is the engagement evidence most practices are currently missing: timestamped records of when each client received, opened, and engaged with their communication, plus a full transcript of questions they asked. This directly supports Consumer Duty evidencing under the FCA's requirement to demonstrate good outcomes. US firms use ClientRoom in the same way to support Reg BI and fiduciary-duty documentation. We recommend discussing specific application with your compliance officer.
How does ClientRoom integrate with our back office software?
ClientRoom works alongside your existing tools. You continue to produce suitability letters and reports as normal. ClientRoom delivers them in a personalised interactive format and gives you the engagement record. Direct integrations with Intelliflo, Salesforce Financial Services, and Dynamics 365 are on the roadmap.
Can we use our own branding and domain?
Yes. Business plan and above includes white-label branding with your firm logo, colours, and a custom domain such as client.morrisfp.co.uk. Clients see your firm's brand throughout.
How does the AI know about our firm's recommendations?
You configure the AI with your firm's information, the products you use, and how you communicate. The AI stays within this brief and is not permitted to generate regulated financial advice. It explains and clarifies what your adviser has already recommended, then directs clients to you for any new questions.
What stops the AI from giving regulated advice?
The AI is configured with a narrow scope per firm and is not permitted to generate new financial advice. Three layers enforce this: a firm-configured system prompt defining allowed behaviour, a refusal classifier that flags out-of-scope prompts before they reach the model, and a per-client context window limited to the recommendations your adviser has already made. Is ClientRoom FCA regulated?
ClientRoom is a communication and evidencing tool. It is not authorised or regulated as a financial advice service by the FCA (UK), the SEC (US), FINRA, or any other financial regulator. The AI does not provide financial advice. Regulatory responsibility for the advice itself remains with your firm and your advisers.
Where is client data stored?
All data is stored in the EU on AWS eu-west-2 UK region. We are GDPR compliant and provide a Data Processing Agreement on all paid plans. We never use client communication data to train AI models.
How long does setup take?
Most firms are live within a day. You configure your firm profile, upload branding, and send your first client room. No technical setup required. We provide a guided onboarding call on Professional and Business plans.
Can clients sign documents through ClientRoom?
Document signing integration with DocuSign and Adobe Sign is on the roadmap for Q4 2025. Currently clients can download, print, and return documents. The engagement log records all of these actions.
